Kirk — the contractor initially felt he would get the work done in a day when I was estimating the previous numbers
below. It took them from Monday to Thursday, so a few days longer. Lucas spent more time than anticipated with those
inspections last week. The work is now completed.
At this time, it looks like our costs are $14,486 for the three different rock removal/grouting projects, so $1,986 over the
previous $12,500. The construction costs will be higher than their original estimate ($43,421.50 vs +/- $32,000) due to
more quantities used than estimated, but will come in less than that construction esti ate of +/- $67,000. So that is good
news.
Incase there is any follow-up questions on the pool island rock, would it be okay to ncrease the budget from $12,500 to
$15,000. Let me know your thoughts.
Here is a copy of the Valley Rich invoice with final quantities.

We included estimated indirect costs in our original May 2021 estimates. Those totaled $11,453.36. See the tables
below that show the line item for indirect costs (highlighted in yellow).
There were costs associated with preparing the quote package for the rock removal/mulch replacement for the non -
infiltration islands and sending those quotes out to contractors. However those indirect costs were not reflected in the
tables below. Kenl-awn was the only person who sent in a quote on that first project, and Jeff Alger dealt mostly with
them in coordinating that work. So our engineering costs on the rock removal and mulch replacement quote project were
mostly the preparation of the quote package.
Below is a summary of the indirect costs from the infiltration island and grouted riprap estimates in May 2011:
• Pool infiltration island riprap ($10,673.36)
• Grouted rip rap at the retaining wail ($780]
• Total = $11,453.36
The indirect cost estimate above is less than the $12,500 that we are suggesting at this time the budget to be increased
by ($10,000 before + $2,500 now). So the increase to $12,500 will be $1,046.64 more than the $11,453.36 number in the
May 2021 estimates.
It will be interesting to see how many contractors provide a quote for the infiltration island work. Some have said they
could do this type of work this fall, so hopefully we get a few quotes to compare. I put some answers to your questions
in your email below too.

I need a better understanding of this. Were their indirect engineering costs calculated into
your original estimates? Yes
The original estimate on the rock removal/relocation in the main parking lot was $25,000 and
we paid $18,500, so we saved $6,500.
There was also $5,000 budgeted for mulch, which I think was included in the $18,500. That's
correct.

The original estimate on the grout/riprap was $4,500 and we paid $10,424, so we were over
by $5,925. Correct
The estimate on the pool median work is $64,100, with quotes yet to be received. Yes
Bottom line is if the pool median bids come in on budget, we will have spent $93,024,
compared to a budget of $98,600, so we have a contingency of $5,576. Okay
I have no problem increasing the budget for engineering, as the work needs to get done, but it
would help to know if any of the engineering costs were included in the original
estimates. Okay.
Let's talk tomorrow after the engineering meeting.

checked on the budget and we are at $10,028 to date, so $28 over the last budget increase from July discussed in the
previous email.
The costs since the last budget increase would include the construction services related to the grouted riprap work,
preparation of the quotation for the final pool island work, discussions with staff, and discussions and correspondence with
contractors for quotes on the pool island work (rock removal and riprap replacement).
I would recommend we increase the budget by another $2,500 to $12,500. Hopefully this should address the remaining
work to complete these rock removal projects.

I am reviewing the As far as engineering time, we have spent now around $7,500 for the various work and discussions
with staff and council, putting together quote packages, and follow-up discussions. We have been increasing the budget
by +1- $2,500 as we get close to the current budget. The indirect time estimated for the two projects was $11,453.36
($10,673.36 + $780). The grouted riprap definitely took more time when we did not get any quotes initially. Now that
Rochon is on board to do that work, that is good.
I would recommend we should bump the engineering time up by $2,500 (so from current budget of $7,500 to new budget
of $10,000) for the final pool island work.
If that seems okay, please respond via an email and I will let our accounting staff know. Thanks.
